Book Parks and Sporting Grounds

Council has a range of parks and sporting grounds available for hire. Prior to booking, Council recommends you view the available Parks and Sporting Grounds and note their facilities.

Elkington Park 2Hire Fees

Fees listed are GST inclusive.

  • Park Booking (1 - 99 people)  $87.00 (less than 2 hours)
  • Park Booking (1 - 99 people)  $172.00 (more than 2 hours - less than four hours)
  • Wedding (flat rate - max three hour hire) $230.00
  • Corporate Events / Promotions $185.00 per hour
  • Large Organised Function (more than 100 people - activity application may be needed) $1237.00
  • Casual Sporting Ground Hire Full Day range from $50 - $75 per hour depending on season and location

Fees are reviewed each year in February/March. The proposed fees and charges are then advertised for public comment in May of each year and implemented from 1 July each year. A hirer may apply to Council to have the hire fees and charges waived.

Why do I need to book?

Booking a park:

  • avoids the possibility of Council rangers asking you to cease your activities
  • avoid clashes with other park users or Council maintenance teams
  • give us a chance to tidy up the park before your activities
  • gives you access to a specific park or sporting ground for a specific period on specific dates, for the purpose of carrying out specific activities.

Booking a park does not:

  • may not give you exclusive use of the sporting ground  (conditions apply)
  • give you exclusive use to an entire park
  • give you exclusive access to a playground 

What activities require a booking?

You will need to book an open space for the following activities:

  • Organised sporting events
  • Picnics, birthday parties or other formal gatherings of over 20 people
  • Wedding ceremonies (receptions are not permitted)
  • Erection of any structures (eg.Marques, jumping castles etc)
  • Animal Farm or Petting Zoo 
  • Use of any equipment (eg. public address systems)
  • Corporate promotion events or product sales
  • Charity events
  • Commercial fitness training activities
  • Organised filming and some photography

Booking a Park or Sporting Ground

Sporting Grounds for Casual Use

Follow the below procedures for booking a sporting ground for Casual Use.

Step 1.
Contact Council on 9367 9281 or email recreation@lmc.nsw.gov.au  to confirm availability and find out the fee.
Sporting Clubs with seasonal bookings have preference over casual users. Casual bookings cannot be made until Council has received all seasonal bookings

* Winter Season: April - September

Step 3.
Return your completed application form with your appropriate payment to Leichhardt Council 7- 15 Wetherill St, Leichhardt, NSW 2040.  Where applicable, provide a copy of $20m Public Liability Certificate.

Step 4.
Read the Insurance Requirements.

Step 5. 
Read the Cancellation Policy.

Step 6. 
If your application is approved, Council will send you a confirmation letter which you should take with you to the venue to avoid any conflicts. If your application is not approved, Council will contact you by telephone.

Sporting Grounds for Seasonal Use

Council will notify the previous season’s user groups that bookings are being received. It is the group’s responsibility to ensure that they have received this information.  Note: If you do not inform Council of a change in club contact, all correspondence will be sent to the contact provided for the previous season.  Please contact council on 9367 9281 or recreation@lmc.nsw.gov.au  if you require seasonal booking information.

The completed form should be lodged by the closing date indicated on the form. Incomplete or late applications may not be considered.

Council will notify the groups of their allocation and will provide the group with a copy of the Ground Allocation Agreement Form.

The following must be provided to Council prior to the start of the sporting season.

a. copy of the completed Ground Allocation Agreement Form;
b. copy of the group’s public liability Certificate of Currency;
c. copy of the group’s most recent annual report including an audited statement of accounts
d. some hirers may be made to pay a seasonal bond

Once all and information is received, Council will confirm the allocated bookings .

Council will invoice the group at the conclusion of the sporting season. Invoices shall be paid no more than one month after the invoice date. Overdue accounts will attract an interest charge. Continued failure to pay by the due date will jeopardise the hirer’s future use of the grounds.

Pre-Season Training

All pre-season bookings are subject to the availability of grounds and must be booked through Council. Bookings of sporting grounds for pre-season training, trial games, and registration days will be considered on a case-by-case basis. No group will be guaranteed any training ground.

Pre-season use may be permitted if:

  • ground conditions are acceptable
  • the use will not interfere with the in-season groups’ use of the facility
  • maintenance works are not underway or scheduled and
  • the intensity of use will not impact on any recently completed maintenance works.

The follllowing procedure applies to pre-season ground hire requests by Seasonal Hirers:
Applications for pre-season sporting ground hire should be submitted on the Pre-Season Sporting Ground Hire Application Form. This form will be sent to groups with their seasonal application form. Note: In consideration of ground quality, groups are encouraged to limit pre-season requests to essential use.
The completed form should be lodged by the closing date for seasonal applications (see table on page 8). Incomplete or late applications may not be considered.

Council will notify the groups of any pre-season allocation and will provide the group with a copy of the Ground Allocation Agreement Form.

b. copy of the group’s Certificate of Currency (see Insurance: pg. 10).

Once documentation is received, the allocated pre-season use may commence.

Weddings, Birthdays and Parties

Casual hire of parks for social activities, wedding ceremonies, community festivals, photography, and birthday parties is permitted. Corporate activities and filming activities may be considered.  Follow the steps below to book for a wedding, birthday or other party.

Step 1. Contact the Customer Service Centre on 02 9392 5000 or email leichhardt@lmc.nsw.gov.au  to confirm availability of the park and determine the applicable fee.

Step 3. If applicable, provide a copy of your Public Liability Insurance. Read Insurance Requirements.

Important information to note for weddings, birthdays and parties
  • Parks can generally be booked from 8am to 6pm. During daylight saving hours, parks can be booked till 8pm.
  • The consumption of large volumes of alcohol is not permitted in Council parks (see terms & conditions for more information).
  • Council does not take park bookings for New Year's Eve.
  • Wedding ceremonies and photos are permitted. Wedding receptions are not permitted in Leichhardt Council's Parks.
  • Marquees, jumping castles and petting zoo's may be permitted in some of Council's parks and reserves. (Check with Council before booking) Companies supplying equipment must have a $20m Public Liability Insurance and must also supply a generator for power.

School Bookings

School hirers (including public and private schools from within the Leichhardt area and from outside) may book for regular school sporting activities, carnivals and other sporting events. Schools within the Leichhardt area are not charged for their use of sporting grounds and parks during school hours except for athletic carnivals which attract a fee of $250. Schools from outside of the area are charged at a discounted rate.

Council will notify all schools within the LGA, and schools outside of the LGA who have booked sporting grounds in the previous school year.

Step 2. Lodge the form by the closing date.

Step 4. Council will notify the school of their allocated ground bookings and confirmation

Step 6. Once all documentation is received, the allocated bookings are permitted to commence.

Important Information to Note for School Bookings

Parks may be closed at short notice due to wet weather conditions. It is the hirer’s responsibility to check with Council on the status of the ground. Check the Sporting Ground Status page of the website.
Sporting ground booking times vary from park to park.
Athletic Carnivals (when track markings are required) can only be held at King George Park - all year round or at Birchgrove Oval (June only)

Cancellation Policy for Schools

Booking cancellations and changes require Council administration time. Depending on the amount of notice given for the cancellation or change, Council may be unable to reallocate the booking time. For these reasons, fees apply to some booking cancellations and amendments.

Booking for Large Events

Any applicant wishing to book for any function involving more than 100 people (e.g., community fairs, music performances) must complete an Activity Application.  

  • Activity Applicants must pay $1070 plus complete a DA Application. This is to be completed and lodged at the Customer Service Centre for approval by Council.  
  • Activity Applications must be lodged at least eight (8) weeks before the function.
  • Applicants must confirm availability of the park 02 9392 5000 prior to lodgement of the Activity Application form and fee. For further information about the Activity Application process please contact Environmental Management Assessments Officers on ph: (02) 9367-9098.
  • Activity Application forms can be picked up at the Customer Service Centre or mailed out on request.
Insurance Requirements

Most casual hirers can be insured through the Council. Inappropriate behaviour of the hirer may void the insurance. The following hirers cannot be insured through Council and will require their own public liability insurance:

  • Incorporated bodies, clubs or associations;
  • Commercial users (hirers who require grounds for the purpose of a business or profit making activity)
  • Corporate Events
  •  A hirer who hires Council facilities for more than a total of ten days over a 12 month period.

All hirers who are not covered by Council's insurance must:

  • maintain a current Public Liability Insurance Policy for a minimum of $20 million, endorsed to indemnify Council against any accident, injury, or damage resulting from or incidents arising from the hirer’s use of Council property or facilities
  • name "Leichhardt Council" or "Any Local Government Authority" on the policy under "Other Interested Parties"
  • provide proof of insurance (photocopy of the original Certificate of Currency) to Council.
Cancellation Policy

Booking cancellations and changes require Council administration time. Depending on the amount of notice given for the cancellation or change, Council may be unable to reallocate the booking time. For these reasons, fees apply to some booking cancellations and amendments.

More than 14 days notice of cancellation or change: Hirer will receive a full refund, less a $40 cancellation fee when refund is requested by the hirer within 30 days of the cancellation.
14 days or less notice of cancellation or change: Hirer will receive no refund.
